How to set up a technology-efficient home office

With the draining traffic jams especially on rainy days in our major cities, working from home can make good business sense.

But it’s important to take the time to ensure that you’ll have the right gear to remain productive and competitive.

To set up a good home office, you need some important basics. One of the most important is Internet access. You will want high speed Internet access from your computer. You need to do your research to find out the service provider who provides value for money in your area.

Your Internet connection can become your main connection to clients. Use a quality service to provide Internet, phone and teleconferencing.

One of the most critical services in your home office tool chest is Internet bandwidth. If you are lucky, you might already have fiber optic connectivity such as Zuku or 4G in your neighbourhood.

If not, be sure to explore all the Internet service options in your area and select the fastest and most reliable. In addition, you will want to consider setting up a local area network so that you can share your network connection across more than one computer and allow shared access to printer, scanner, and fax machines connected to your network.

You may from time to time need printing services. You will need, at a minimum, a black and white printer. A laser printer is better as they are faster, provide higher quality output than an ink-jet printer, and are less expensive in the long run.

If you need colour printing, it might be more cost-effective to get a black and white laser printer, and a separate laser or ink jet colour printer, depending on your colour printing requirements.

MULTI-FUNCTION PRINTER

Consider Laser multi-function printer, which also serves as a scanner, fax, and copying machine. If you have a need for any of these additional functions, the combined package will use less table space than would multiple devices.

The cost will also be less than the combined cost of the individual devices. The other option to consider is a network ready printer or multi-function device. If you set up a local area network in your house, this will allow the printer to be used from any of your computers without having to move it around or disconnect and reconnect wires.

In case you do not have a multi-function printer, you may have to add a scanner to your home office electronics. A scanner provides a way to read physical documents, drawings, and photographs into a computer so that they can be stored, integrated in documents, printed, or faxed.

Most scanners come with optical character recognition software that can read the words off a scanned page and insert the words into a word processor or other application.

Laptop docking stations are a great way to keep your desk free of clutter and make use of a full keyboard, mouse, monitors, and more. These can get a little bit expensive, but with some cable management and creativity, you might not need one.

You can also buy a simple USB hub which you can use to route all of your USB peripherals (printer, card reader, phone, mouse and keyboard) to one place, and then send just one line to your laptop. This makes it convenient to grab and go, and eliminates a mess of cords on the side of your laptop.

You can also consider going wireless. Wires are fast disappearing from the office landscape. Keyboards, mice, printers, routers, monitors, drives, speakers, etc are all fair game for the wireless revolution. Some small devices can now even be charged wirelessly.
